Dunne & Ryan – Booking Terms & Conditions

These Booking Terms & Conditions apply to all travel arrangements made with Dunne & Ryan (“we,” “us,” or “our”). Please read them carefully. By submitting a payment or deposit, you acknowledge and accept these Terms & Conditions in full.
1. Booking & Contract Formation
A binding contract is formed once Dunne & Ryan has received the required deposit or payment and has confirmed the booking in writing.
Payment of any amount constitutes acceptance of these Terms & Conditions, whether made directly by the client or by a travel advisor acting on the client’s behalf.
All itineraries are custom-designed and involve third-party suppliers. Availability cannot be guaranteed until services are confirmed and deposits are received.
2. Payment Schedule
Standard Bookings
A 30% non-refundable deposit is required to confirm the trip and secure services.
The final balance is due 60 days prior to travel, unless otherwise agreed in writing.Last-Minute & Bespoke Bookings
For trips booked within 60 days of departure, or for highly customized, short-notice, or complex itineraries:
Full payment may be required at the time of booking, or
An accelerated payment schedule may apply, depending on supplier requirements.
As a bespoke travel service, Dunne & Ryan reserves the right to make case-by-case exceptions or adjustments to deposits, payment schedules, or terms at our sole discretion. Any such exception must be confirmed in writing and does not set precedent for future bookings.
Failure to submit payment by the stated due date may result in automatic cancellation, with applicable cancellation penalties enforced.
3. Accepted Forms of Payment
We accept the following payment methods:
Credit or debit card
Bank transfer / wire
Check
All invoices are issued in USD, unless otherwise specified.
Payments made via bank transfer, wire, check, or cash receive a 2.9% discount, reflecting avoided card processing fees. This discount applies only if funds are received and cleared in full by the due date.
Credit card payments are processed at the full invoiced amount.
4. Pricing, Currency & Surcharges
All pricing is subject to currency fluctuation, supplier-imposed increases, and taxes or surcharges introduced after booking. Unavoidable increases imposed by suppliers may be passed on to the client.
Once final payment is received, pricing is locked unless changes are requested by the client.
5. Changes to a Confirmed Itinerary
Requests to modify a confirmed itinerary are subject to supplier availability, additional costs, and possible re-planning or administrative fees.
While we will make reasonable efforts to accommodate changes, availability, pricing, and outcomes cannot be guaranteed. All additional costs must be paid prior to confirmation.
6. Cancellations & Refunds
All cancellations must be submitted in writing.
Because all trips are custom-designed and rely on third-party suppliers:
Deposits are non-refundable
Refunds are governed strictly by supplier cancellation policies
Many services become non-refundable once booked, including accommodations, private drivers, guides, ticketed events, and experiences
Cancellation Schedule
More than 60 days prior to arrival
Deposit forfeited; any unrecoverable supplier costs apply60–30 days prior to arrival
Forfeit 50% of total trip costLess than 30 days prior to arrival
Forfeit 100% of total trip cost
No refunds are issued for unused services, missed experiences, or early departures.
Planning, design, and administrative time is non-refundable under all circumstances.
7. Ticketed Events, Golf & Special Activities
Ticketed Events & Tee Times
Ticketed events and golf tee times must be paid in full before purchase, are subject to availability, and are non-refundable once booked.
Golf
Due to the inflexible nature of golf suppliers:
All golf bookings are 100% non-refundable
Full payment is required upfront
No deposit option applies
Golf equipment (clubs, caddies, carts) is not included unless explicitly stated and must be requested in advance.
8. Travel Insurance
Comprehensive travel insurance is strongly recommended and may be required. Insurance should cover trip cancellation and interruption, medical expenses, baggage loss, and supplier insolvency.
Dunne & Ryan is not responsible for losses resulting from weather, illness, government action, strikes, acts of God, or other circumstances beyond our control.
9. Client Responsibilities
Clients are responsible for:
Valid passports, visas, and entry requirements
Personal health, fitness, and mobility suitability
Arriving on time for all scheduled services
Failure to meet requirements does not constitute grounds for a refund.
10. Lost or Damaged Property
Dunne & Ryan is not responsible for loss, theft, or damage to personal belongings, or for inconvenience, distress, or loss of enjoyment resulting from the acts or omissions of third-party suppliers.
11. Special Requests & Dietary Requirements
Special requests, allergies, or dietary requirements must be disclosed at the time of booking. While we will communicate requests to suppliers, fulfillment is not guaranteed and does not form part of the contractual obligation.
12. Force Majeure
Dunne & Ryan is not liable for failure to perform services due to events beyond our control, including but not limited to natural disasters, pandemics, strikes, war, terrorism, or government restrictions.
13. Supplier Responsibility
Dunne & Ryan acts solely as an agent arranging services provided by independent third parties and is not liable for supplier insolvency, operational changes, or service substitutions made for reasons beyond our control.
14. Governing Law & Jurisdiction
These Terms & Conditions are governed by the laws of Ireland, and any disputes shall be subject exclusively to Irish jurisdiction.
15. Changes to These Terms
We reserve the right to amend these Terms & Conditions at any time. The most current version supersedes all previous versions.

The process begins with an inquiry—either directly from a client or through a trusted travel advisor.

Step Two: Design & Direction
Once alignment is confirmed, we begin shaping the journey.
Using local insight and long-standing relationships, we:
Identify the most appropriate accommodations and routing
Curate experiences that reflect place, people, and season
Balance structure with space, intention with ease
What emerges is not a template, but a direction—one rooted in how the journey should feel.
Step Three: Proposal & Review
You will receive a detailed proposal outlining:
The recommended itinerary and overall flow
Key inclusions and logistics
A clear investment overview
This is a collaborative phase. Refinements are welcome, and decisions are guided with clarity, practicality, and respect for availability.
Step Four: Confirmation & Deposit
Once the proposal is approved:
A 30% deposit confirms the booking
Services move from provisional to active confirmation
Availability is secured where possible
At this point, planning transitions into coordination, and the journey begins to take shape behind the scenes.
Step Five: Coordination & Refinement
Following confirmation, our team manages the details.
This includes:
Finalizing reservations with trusted local partners
Aligning timing, routing, and logistics across regions
Communicating selectively as milestones are reached
Minor refinements may be accommodated during this phase, subject to supplier terms and availability.
Step Six: Final Balance & Preparation
The final balance is due 60 days prior to travel, unless otherwise agreed.
As departure approaches:
Remaining services are confirmed
Your itinerary is finalized for travel
Pre-departure guidance is shared at the appropriate time
Preparation should feel reassuring—not overwhelming.
Step Seven: Travel, Supported
While you travel, we remain quietly available.
Should something shift due to weather, timing, or circumstance, we work with our local partners to respond with care and discretion—always in service of the overall experience.
